Manage Revisions
Administrators and other users that have been given the Manage or Approve attribute for a group are able to manage the approval process for page revisions. Contributors may create new versions of pages and submit them for Review. To learn about creating the roles of Approvers, Managers, and Contributors See Workflow Management.
From the "manage revisions" link within the page editor, notice that multiple versions of each page are stored. This allows you to edit a page without changing its appearance on the live Website. You may keep editing until you are ready, and then make your new version active. If you need to “undo” the change, you may roll back to the previous version. There is no limit on how many versions you can store.
Understanding the Revisions List
The page version that has been highlighted in yellow is the Active version of this page. Remember that the “Active” Version of a page is the one that is currently viewable by your website visitors. Only one version of your page may be active at one time.
The page version that has the pencil icon is the one you are currently working on. It also has the large text that says "you're editing this one right now."
Below are the items included in the Revisions list:
- Version Number: Current page version number
- Preview: Preview an active or inactive page version
- Created: The author, date, and time of the original page creation
- Last Modified: The author and date of the last user to modify the page
- Comments: Stored comments about this page version
- Approval Requested: The author and date of the last user to request approval
- Approval Icons: Reject or Accept approval icons
- Approved: The name of the approver and date of the last page approval
- Rollback: Publish a previous page version as the Active page on your website
- Edit: Access this page for edits and changes
- Delete: Delete a stored page version from the Revisions list
Requesting Approval for a Page Revision
Contributors can request approval by selecting the Request Approval icon in the Revisions list (under the "manage revisions" link in the page editor area)When a page needs an approval, Managers and Approvers will see a special exclamation Review icon within their page list. Additionally, email alerts are automatically sent when teammates update pages needing review.
Accept or Reject an Approval Request
Managers and Approvers may visit the Revisions list within the page editor area (under the "manage revisions" link). Click the Preview icon to the left of the new page version to review the content. When review has been completed, return to the Revisions list and click the “Approve” or “Reject” icon within the Revisions List.How to Add a Comment
If you would like to make comments concerning the Approved or Rejected page, click on the Comment link within the Revisions List. Please note that once your comment has been saved, a copy will be emailed to the user that requested approval.Email Notifications
When a page has been requested for approval, the eligible Managers and Approvers will receive an email notification.When a page has been approved or rejected, the user requesting approval will receive an email notification.
When a page version has comments posted, the user requesting the approval will receive an email notification.
