File Manager
The SiteOrganic File Manager allows you to store documents, images, and other files on the web server. Once a file is stored on the web server, it can be displayed or linked from any of your web pages. The File Manager also allows you to organize your files into folders and subfolders. You can move them, rename them, add keywords, or delete them.
NOTE: the files in your File Manager will not appear to the public unless you have linked them somewhere on your Website. Likewise, the folder structure in your File Manager is purely for organizational purposes. It is completely separate from the menu structure of your Website.
To access the File Manager
The File Manager is reachable from many places within SiteOrganic; anytime there is a field that asks you to specify an image or file path, you will see a "Choose" link next to that field. This link will launch the File Manager in a popup window. Also, you can always reach the file manager in a full-screen mode by choosing Files & Media > File Manager from the menus in the Admin Console.
Working with Files and Folders
Folders and Subfolders
Each of the groups on your Website will have a folder, by default. These folders can be renamed by renaming their corresponding groups (see Add/Edit Groups).
Folders may only be viewed by users who have permission to see them. For instance, if Mary is not allowed to work in the Men’s group, then she will not have access to the Men’s group folder.
Inside of each group folder, you may create as many subfolders as you would like. Subfolders may contain files, or other folders.
To create a new folder:
- Right-click an existing folder, and choose “New Folder”
- A new folder will be created. Initially, it will be called “New Folder”.
To rename a folder:
- Click once on a folder. This will highlight the name.
- Wait at least one second, and click again on the folder name. You can now use your keyboard to rename the folder. When you are finished, press Enter to save the change.
To view the files in a folder:
- Click a folder name. The contents of the folder will appear in the middle window pane.
To view the properties of a file:
- In the middle window pane, click on a file.
- You will see its properties in the right-hand (details) window pane.
To rename a file:
- In the middle window pane, click on a file.
- In the right-hand properties pane, click “Edit Details.”
- You may now change the following fields:
- Name: change the displayed name of the file. NOTE: This will not change the physical filename on the server. This means that, even though you might rename the file, any pages that are referencing the file will remain intact.
- Description: use this field as a private area to add descriptive text about the file. If you add keywords to your file, then users will see this Description on the search results page.
- Keywords: If you would like for visitors to your Website to be able to search for this file directly, then add keywords here. Keywords may be separated by commas or spaces. For instance, if you add keywords such as “children, kids, school”, then any visitor who searches for the word “school” on the public Website will see this file as one of their results. This can be a helpful way to make documents like PDF and PowerPoint available without placing them anywhere on your web pages. If you leave your keywords blank, then the file will not be accessible via the public search engine on your Website.
- Click the Save Changes button when you are finished.
To move a file between folders:
- In the middle window pane, click on a file.
- Drag the file to any other folder.
To make a copy of a file:
- In the middle window pane, right-click on a file.
- Choose “Copy” (alternately, you can also select the file and then click the “Copy” button in the toolbar).
- Select the folder where you want to place the copy.
- Right-click the folder name and choose “Paste” (alternately, you can also select the target folder, and then click the “Paste” button on the toolbar).
